System Manager - Typists
A typist profile allows users with telephony stations or iNet to connect to the server and transcribe. Each user's profile can be configured differently, if desired.

Creating & Deleting Profiles
To create a new typist profile, click the green + button. You will need to enter a unique ID and name. If you want the new profile to have the same configuration as an existing one, select the typist profile to mirror from the Model dropdown menu.
To delete a typist profile, simply select the desired profile from the dropdown menu and then click the red x button. Click OK to the confirmation popup.
Options
There are a variety of options that can be configured, both for user preference as well as security.
General Tab
-
Name
The name associated with the profile can be changed here.
Account Password
If a password is entered the user will be required to provide it before logging into Navigator or iNet 3. This can be up to 21 characters long, and include any character.
-
Password Required will force iNet users to create a password if they currently do not have one. The minimum passsword length can be set from the Security options.
There are four different user types you can assign a typist profile. These determine what options and features are available to the user. By default a typist is assigned as General.
-
General users have access to all but a few features. This includes the Supervisor Review and changing the Author listed for a particular job. However, General still allows editing all other job demographic fields, and requestingl both assigned or unassigned dictation.
Restricted users are only allowed to request and transcribe dictation that is specifically assigned to their profile ID. If typists are working from a pool or regularly transcribe dictation not assigned to them, this User Type would be too restrictive.
Reviewer users are not able to mark an In Queue job as Complete, but can only listen to and review it. To limit what dictations the user is able to review, combine this with appropriate Request Permissions.
Supervisor provides the user with full, unrestricted access to all features and dictation on the system. This includes all of the permissions granted to a General user type along with: Supervisor Review and modifying a job's Author under Job Edit.
If checked, this user will be able to edit the demographic data of dictation jobs using iNet.
Allow iNet Exporting
If checked, this user will be able to export dictation to preset paths using iNet.
Request Permissions
The checkboxes you enable determine what options that user will have available to request dictation, whether it be through iNet or telephony.
-
Exclusive Assignment determines if the typist can request dictation by this mode. If unchecked then the user cannot request dictation this mode at all.
Category allows the user to be restricted to specific catergories. Multiple catergory numbers should be seperated with a comma. If the box is checked and the field is left empty, then the user will be able to request dictation by any category. If unchecked then the user cannot request dictation by categories at all.
Specific has several sub methods you can enable.
The Ignore Exclusive Assignment box beside each subject sub method will allow the user to request dictation by that method even if it is not assigned to their profile ID. This is recommended for most users unless you have configured very specific security restrictions for everyone.
FIFO determines if the typist can request dictation by this mode. If unchecked then the user cannot request dictation by this mode at all.
Your Saved Documents determines if the typist can request dictations they have put in the Saved status. If unchecked then the user cannot access Saved files.
You can lock a typist down to a single deparment number or group of department numbers. To do so, type the department number. Use commas to seperate multiple numbers.
Worktype Lock
You can lock a typist down to a single worktype number or group of worktype numbers. To do so, type the worktype number. Use commas to seperate multiple numbers.

Greeting
The greeting plays when the user first logs onto the system. None will disable this feature. General will say, "Welcome to Voice Solutions". Personal will play the custom greeting you have created for that profile. If a custom greeting is not available, it will play the General greeting until one is created.
Telephony Password
If a password is entered the user will be required to provide it before logging into the system by telephone. The password can be from 1-10 numerics long. Note that this is completely separate and different from the Account Password on the General tab.
Key Map
You can change what key map the profile will use.
Stop Tone
When checked, a soft beep will play when the user is in STOP mode. This reassures the user that they are still connected to the system.
Saved Prompt
If checked, the user upon logging in will be told how many saved dictations that have been saved under their profile.
Exclusive Prompt
This prompt will play when the user logs in if they have dictations exclusively assigned to them. It will inform them how many dictations are available. This only works, though, if authors are assigning jobs to a particular typist. This will not inform the user how many dictations are In Queue.
Play Volume
This determines the level at which audio is played back. 4 is the loudest with -4 the lowest. This can also be set at the channel level.
Prompt Volume
This determines the level at which prompts are played. 4 is the loudest with -4 the lowest. Although Play Volume affects the prompts, Prompt Volume allows you to offset any difference in the playback of audio compared to the prompts.
Maximum Stop Time
You can place a limit on how long the user can stay in STOP mode before they are disconnected, thereby freeing up that channel for other users. This is in minutes. This can also be set at the channel level. This can be from 0-999, with 0 disabling the feature.
Rwd and F.Fwd Increment
This determines how far the audio will rewind of fast forward when using the REWIND or F.FWD commands. This is in seconds and can be from 1-20.
Auto Backspace Increment
This determines how far the audio will automatically backup, or rewind, when using the PLAY command. This is in tenths of a second and can be from 1-500.

Choose From
When you are typing a job with a telephony station, you can have the file's demographic data spoke to at any time by entering the Annotate key command (different for each keymap). Click on the field you wish to have spoken to you. This will place it in the Annotation Sequence box on the right.
Annotation Sequence
The order each demographic field is spoke is determined by their order in this box, from top to bottom. You can remove an item by clicking on it.
Auto Annotate - At First Play
If enabled, the system will automatically speak your annotation sequence when the file is first played.
Making Changes
To save any changes you have made, you must click the Update button. To duplicate a profile, click Copy, go to the category you want to modify, and then click Paste.
The Revert button will restore the profile back to its last saved configuration.
